How the products fit together
Pupil Protect is six products that share one sign-in and one set of pupil and staff records. A concern logged in Safeguard can reach the right part of the school without anyone typing it twice, and only the people who need it see it.
One sign-in, wherever you work
Staff sign in once and choose the school and product they need. People who work in more than one school, or for the trust, switch between them without signing out.
If someone has an account at two schools, they can link them to use one password and one two-step code. Only the person can link their accounts, after proving they own both email addresses. Both schools’ admins are told.
Linking changes how someone signs in, nothing else. Each school still decides what that person can see there, and records never pass between schools.

One set of pupil and staff records
Pupils, contacts, staff and attendance come from your management information system (MIS) and stay in sync. Every product reads the same records, so a pupil who joins mid-year appears in every product at the next sync.
Supported systems: Arbor, Bromcom, SIMS, iSAMS, IRIS Ed:gen, Compass, ScholarPack, Facility CMIS, Double First Engage, WCBS, RM Integris, Juniper Horizons, or a CSV import. How often records sync: [sync frequency].
What comes from the MIS is marked as such, so staff know where to correct it.
A public API, with scopes so you decide exactly what each integration can read or change.
What each product shares
Safeguard holds the child’s record. The other products link to it where they need to, and each one sees only its part.
When a child’s concern is about an adult
If a pupil discloses something about a member of staff, the allegation is handled in Staff, apart from pupil records, with the stages and the local authority designated officer (LADO) timeline tracked. The child’s disclosure stays on their Safeguard record.
The case links to the pupil’s record, and only the case manager and the DSL can see that link. If HR is given access to the case, they don’t see the pupil’s record.
When someone who shouldn’t be here arrives
The DSL team can add people to a watch list, such as a parent with a court order preventing contact. If someone matching the list signs in at the reception kiosk, reception and the DSL team get a discreet alert with the steps to follow. The visitor never sees it.
Reception doesn’t see which pupil it’s about. The attempt is added to the pupil’s Safeguard record, and the DSL is told straight away.
- 1. Don’t admit him or let him wait inside the building.
- 2. Don’t release any pupil to him.
- 3. Call the DSL on 201, or the deputy on 214.
- 4. If he becomes threatening, call 999.
When you share with another agency
From a concern or plan in Safeguard, the DSL can send an update or share a plan with a social worker, health or another school. They read it in Connect, and you can see who opened what and when.
Information coming in, such as a police notification, is filed straight onto the child’s chronology. It can be marked restricted, so only the DSL team can open it.
- Add to Kai’s chronology in Safeguard (restricted)Filed
- Ask his key adult to check in before period 1Sent
- Tell Head of Year 8 that support is needed, with no detailsSent
When an injury is a safeguarding worry
First aiders see a child’s medical conditions, allergies and healthcare plan from Safeguard, so they know what they’re dealing with. They don’t see concerns or the chronology.
If an injury worries them, or a child keeps coming to the medical room, they raise a concern from the visit. It goes to the DSL team, linked to the first aid record.
When the trust needs the bigger picture
Insight turns what schools record in Safeguard and Staff into counts, rates and response times. Trust leads and governors see patterns across schools without seeing a single name or record.
Small numbers are shown as “fewer than 5”, so no child can be identified from a report.
Connected, but kept apart where it matters
Sharing records doesn’t mean everyone sees everything. These lines hold across all six products.
- Concerns about adults stay in StaffPupil records never show them, and only the case manager and the DSL see the link to a child.
- Reception never sees a child’s nameA watch list match tells reception what to do, not who it is about.
- Insight holds counts, never namesNo record content and no pupil names, at school or trust level.
- First aiders see health, not concernsConditions, allergies and healthcare plans, but never the chronology.
- Agencies see only what you shareEvery view and download in Connect is logged for the DSL.
- Schools stay separateOne sign-in across schools never mixes their records.
