Pupil Protect

Every concern recorded, seen and acted on.

Pupil Protect is where the adults in your school write down what worries them about a child, and where your safeguarding team picks it up, acts on it and keeps the record that follows that child.

For primary, secondary and special schools, and the trusts that run them, in England.

One concern, from the first worry to inspection day

Most safeguarding starts with something small that one adult notices. Here is what happens to it in Pupil Protect.

08:50Monday

A tutor notices

Any adult can log a concern from a laptop or phone. The form asks what happened, when, and what the child said, in their own words. It takes a couple of minutes, so it gets done while the detail is fresh.

Who is it about?Amelia, Year 10
What did she say?“I’m fine, I just couldn’t find it”
Is this urgent?No, but today

The right people know straight away

The safeguarding team is alerted at once, and the Head of Year if the tutor chooses. Alert emails say only that something needs attention. Names and details stay inside Pupil Protect.

The DSL acts, with the whole picture

The concern sits on her chronology next to everything before it. Pupil Protect points out that this is the third food-related concern in a month and suggests next steps. The DSL decides what happens.

The core group meets

With everyone’s agreement, Pupil Protect transcribes the meeting and drafts the minutes, decisions and actions. Nothing is shared until the chair approves it, and the recording is deleted afterwards.

The evidence is already there

Chronologies, plans, referrals, training records and the single central record are kept as you work. Export the key events for a meeting, or show an inspector exactly who saw what and when.

AI helps you write. It never decides.

It drafts the parts of safeguarding that take time away from children: tidy accounts, meeting minutes, referral summaries. A person checks and approves every word.

How our AI works

  • A child’s words are never changedQuotes are kept exactly as they were written down, by people and by the AI.
  • Nothing is sent or shared by the AIIt suggests. A member of staff chooses what to keep, send or act on.
  • Every suggestion is loggedYour DSL can see what the AI wrote, who used it and what they changed.
  • You can switch any of it offEach AI feature has its own setting in admin.

For trusts: see every school, without seeing every child

Trust leads see patterns across schools as counts, never names. Set categories once for every school, and give staff who work in more than one school a single sign-in.

Bring your records with you

Moving from another system or from paper? We bring across your chronologies, documents and categories, so nothing is lost and staff carry on where they left off.

We guide you through exporting from your current system, or scanning paper files.

  2. 2Import and check

Records are matched to pupils from your MIS. Your DSL checks a sample before anything goes live.

  3. 3Go live

A short briefing for staff, ideally on an INSET day. Your old records stay readable while staff settle in.
