- What is Pupil Protect?
Pupil Protect is software for keeping safeguarding records in schools. The adults in a school write down what worries them about a child, and the safeguarding team picks it up, acts on it and keeps the record that follows that child. It is designed around the work of designated safeguarding leads (DSLs).
- Who makes it?
Glacier Labs Ltd, trading as Pupil Protect. Registered in England and Wales, company number 17497871. Address: 66 Paul Street, London, EC2A 4NA.
- Who is it for?
Schools and trusts in England: nurseries, primary, secondary and special schools, and the trusts that run them. Inside a school it is used by the DSL and their team, every member of staff who needs to log a concern, the headteacher, the office, first aiders and governors, each with a role that shows only what they need.
- What are the products?
- Safeguard: Concerns, SEND, behaviour, attendance and health.
- Staff: Safer recruitment and concerns about adults.
- Visitors: Sign-in for visitors, staff and pupils.
- Insight: Trust-wide patterns, counts only. For trusts.
- Connect: Share safely with social care and health.
- Health: Medicines, first aid and accidents.
- AI: Help with writing and next steps. A person always decides.
Some features are still being built. Each product page marks them “Coming soon”.
- How much does it cost?
One annual price per school, based on the number of pupils on roll at the October census. The price includes every product. There is no set-up fee and no charge per member of staff. Prices exclude VAT.
Prices start at £250 a year, for a nursery of up to 100 children or a primary school of up to 50 pupils.
Trusts get a discount on the total: 5% for 2 to 4 schools, 7.5% for 5 to 9, and 10% for 10 or more. Insight is included for trusts.
- What is included in the price?
Every product (Safeguard, Staff, Visitors, Connect and Health, plus Insight for trusts), unlimited staff, MIS sync and set-up, live DSL training and a staff briefing for INSET, UK support by live chat and email in term time and holidays, updates, and exporting all your data at any time.
Coming soon: importing your records from your current system, at no extra cost.
- Where is the data stored?
In UK data centres only, including backups. Data is encrypted with TLS in transit and with AES-256 at rest, and documents are encrypted individually.
The school is the data controller under UK GDPR. Pupil Protect is the processor and acts only on the school’s instructions, under a data processing agreement. School data never trains AI models.
- Which MIS does it work with?
13 management information systems: Arbor, Bromcom, SIMS, iSAMS, Progresso, ScholarPack, Pupil Asset, Facility CMIS, Double First Engage, WCBS PASS, RM Integris, SchoolBase and SchoolPod. Pupils, staff and contacts sync from the MIS. Pupil Protect doesn’t change anything in your MIS.
- Does it use AI?
Yes, for writing help, answering questions from your policies and statutory guidance, suggesting next steps and drafting summaries. AI is off until the school switches it on, and the school chooses which roles can use it.
It runs on a model the school controls, inside Pupil Protect or on the school’s own server, so pupil information never goes to an outside AI service. A member of staff checks everything it produces, and every use is logged. Some AI features, such as meeting notes and SEND plan drafting, are coming soon.
- What certifications does it have?
None yet. We are working towards recognised security certifications and will list certificate numbers on our security page once we have them.
- What support do schools get?
UK support by live chat (8am to 6pm) and email, in term time and holidays. Existing customers get help from inside the app. There is also a help centre and a service status page.
